N-E-I is a service business with a
history of successfully delivering projects for federal government agencies by
providing outstanding service and comprehensive turn-key solutions. We are
certified as s Small Disadvantaged (SDB), Woman-Owned (WOSB/EDWOSB), and
Minority entity, which has been in operation since 1987. We are proposing on a
5-year contract at Camp Pendleton, CA. and seek highly experienced, qualified
employees to fill these positions.
JOB
FUNCTIONS: I
Overview: The General Clerk follows clearly detailed
procedures in performing simple repetitive tasks in the same sequence.
Responsibilities would include filing pre-coded documents in a chronological
file, or operating office equipment, (e.g., mimeograph, photocopy,
addressograph or mailing machine).
GENERAL CLERK I
This position follows clearly detailed specific
procedures in completing several repetitive clerical steps performed in a
prescribed or slightly varied sequence, such as coding and filing documents in
an extensive alphabetical file; could involve simple posting to individual
accounts, opening mail, calculating and posting charges to departmental
accounts, operating basic office equipment, e.g., photocopier, facsimile,
multi-line phone/voicemail systems, mailing machines, and minimal computer
programs. Little or no subject-matter knowledge is required, but the clerk uses
his or her own judgment in choosing the proper procedure for each task.
GENERAL CLERK II
This position requires familiarity with the
terminology of the office unit. The General Clerk selects appropriate methods
from a wide variety of procedures or makes simple adaptations and
interpretations of a limited number of substantive guides and manuals. The
clerical steps often vary in type or sequence, depending
on the task. Recognized problems are referred to others.
GENERAL CLERK III
This position uses some subject-matter knowledge and
judgment to complete assignments consisting of numerous steps varying in nature
and sequence. Selects from alternative methods and refers problems not solvable
by adapting or interpreting substantive guides, manuals, or procedures. Typical
duties include: assisting in a variety of administrative matters; maintaining a
wide variety of financial or other records (stored both manually and electronically);
verifying statistical reports for accuracy and completeness; compiling
information; and handling and adjusting complaints. The General Clerk III may
also direct lower level clerks.
The employee utilizes USMCmax
maintenance database to develop monthly, quarterly and annual reports. All
reports are directly related to facilities operations and support. Other duties
include providing labor reports to the Supervisor as requested, receiving
utility outage requests, locator requests, warranty issues and plan reviews
from customers. All requests are processed to the proper shop for completion. Will be required to work closely with the Quality Control
Specialist to provide information on the status and productivity of all reports
and requests. Develops and provides reports to the designated government
representatives. Reports consist of utility outages, facility condition, assessments,
emergency work, reactive work, routine work, plan reviews, warranty work, utility
locater services and other reports as deemed necessary. All reports are
required monthly, quarterly, annually or as requested. Reports are developed
using USMCmax and various other programs. Under
special circumstances labor reports and specific job reports may be required.
These reports generally are comprised of USMCmax,
SLDCADA and Fiscal information. Will receive and process Indefinite Delivery
Indefinite Quantity (IDIQ) task orders, creating folders, working directly with
the designated government representative and others as needed. Additional
scheduling and checking the status of materials and services may be required.
Receives and processes all warranty work, plan reviews, utility locater
requests and utility outage requests. Duties include inputting information into
USMCmax and sending requests to the proper shop.
Receives and processes completed work orders and daily labor sheets that are
turned in by the various trades within the organization and customer service
department. Each labor sheet contains information on daily work requirements.
These requirements need to be input into the database system on a daily basis. Additional
input can include workers comments and changing the status of work orders in USMCmax. The verification of ensuring all FTE’s turn in a
daily labor sheet shall be required. All daily labor sheets shall be filed for
the lifetime of this contract. This position can also be required to prepare,
maintain, and track daily work, such as general maintenance, service tickets,
self help logs, work request and schedules. Prepares and maintains daily and
weekly reports and correspondence. Maintains working files of directives,
messages etc. The above is accomplished through the use of computer databases,
e-mail, fax machines, telephone and written records. Dispatches
workers to emergency conditions requiring immediate response. As needed,
closes completed service tickets in the ticket database, recording all expended
labor hours and material cost. Additional duties may include but are not
limited to the following: processing time cards, processing performance
appraisals, process training requests, process employee physical requirements,
maintain personnel files, maintain vacancy announcements for publication,
process profiles, process awards, maintain emergency contact lists and provide
leave management. The work involves performance of a full range of standard and
nonstandard assignments, and resolving a variety of non-recurring problems.
Work includes a variety of assignments involving different and unrelated steps,
processes, or methods. Employee must identify and understand issues involved in
each assignment and determine what steps/procedures are necessary. Extensive
experience working with MAXIMO (3 years) is highly desired.
